Overview – Business Visas

Business Visa is required for individuals traveling to the Netherlands for meetings, conferences, training, trade fairs, or other commercial activities. This visa does not permit paid employment in the Netherlands. If you intend to undertake paid work, you must apply for a work permit.

Processing Time

  • Applications can be submitted up to 6 months before travel.
  • Standard processing time is 15 calendar days from the date of application.
  • Some applications may take longer due to high application volume, additional document requests, or nationality-based security checks.
  • Airplane crew members do not need to leave their passports at the visa centre during processing.

Your passport will remain with the visa centre during processing. You can track your application status using the track & trace code provided at submission.

Visa Application Form

Travel Documents

  • valid passport or travel document, meeting the following criteria:
    • Must be valid for at least 3 months beyond your departure from the Schengen area.
    • Must have at least two blank visa pages.
    • Must have been issued within the last 10 years.
  • copy of all passport pages.

For Minors (Under 18 Years Old):

  • Birth certificate.
  • If traveling alone or with one parent:
    • Consent letter from both parents/legal guardians.
    • Copies of both parents’ passports or certified biodata pages.
  • If sole custody applies:
    • Birth certificate listing one parent.
    • Death certificate of the absent parent (if applicable).
    • Court order granting custody.

UK Residency

One of the following must be submitted:

  • UK eVisa printout with a valid share code.
  • Until March 31, 2025:
    • Biometric Residence Permit (BRP) valid until at least December 31, 2024.
    • EU Settlement Scheme Biometric Residence Card (EUSS BRC) valid until at least December 31, 2024.

Photo requirements

  • Must meet Dutch passport photo requirements:
    • Taken within the l3-6 months.
    • Colour, sharp, and high-resolution.
    • Printed on high-quality photo paper.
    • 35mm x 45mm, with 16mm-20mm face width and 26mm-30mm face height.
    • Even lighting with no shadows or reflections.
    • Neutral expression, eyes looking straight, mouth closed.
    • No head coverings unless for religious reasons.

Proof of Travel & Accommodation

  • Confirmed return ticket or proof of onward travel.
  • Hotel reservation covering the entire stay or an invitation letter from the host company.
  • Proof of invitation from a Dutch company, including:
    • Official invitation letter specifying the purpose and duration of the visit.
    • Details of business meetings, training, conferences, or trade events.
    • Proof of the host company’s registration in the Netherlands.

Proof of Finance

  • Recent UK bank statements (last three months) showing sufficient funds.
  • Traveller’s cheques or credit card statements indicating available balance.
  • If financially supported by a spouse or parent, additional documents are required:
    • Marriage certificate (for spouses).
    • Birth certificate (for children).
    • Sponsor’s financial statements and a letter of financial support.

Proof of Occupation (Not older than 30 Days)

For Employees:

  • A recent employment letter confirming job role, salary, and approved leave.
  • Payslips from the last three months.

For Self–Employed Applicants:

  • Letter from an accountant, banker, or solicitor confirming self-employment.
  • Latest HMRC self-assessment tax return.

For Students:

  • signed letter from a UK school, college, or university confirming enrollment and attendance.

Travel Insurance

  • Must cover the entire Schengen area and your full stay.
  • Minimum coverage of â‚¬30,000 for:
    • Medical emergencies and hospitalization.
    • Repatriation (including in case of death).

Visa for Final Destination

  • If traveling beyond the Schengen area, a valid visa or residence permit for your next destination is required.

Photo Specifications

To ensure your application is processed without delays, your passport photo must meet the following criteria:

Dimensions:

  • Size: 35 mm x 45 mm (width x height).
  • Face Width: Between 16 mm and 20 mm (excluding ears).
  • Face Length: For applicants aged 11 and over, between 26 mm and 30 mm (from chin to crown).

Quality:

  • Colour: The photo must be in colour and a true likeness.
  • Recency: Taken within the last 6 months.
  • Clarity: Sharp, with sufficient contrast and detail.
  • Condition: Undamaged and unaltered by computer software.
  • Paper: Printed on high-quality, smooth photo paper with a minimum resolution of 400 dpi.

Lighting:

  • Evenness: Lighting must be even, without over- or underexposure.
  • Shadows: No shadows on the face or background.
  • Reflections: No reflections on the face or from accessories.

Position:

  • Head Orientation: Head facing forward, not tilted.
  • Eye Alignment: Eyes horizontally aligned.
  • Shoulders: Shoulders straight.

Background:

  • Colour: Light grey, light blue, or white.
  • Uniformity: Plain, all one colour and shade.
  • Contrast: Must contrast sufficiently with the head.

Glasses:

  • Visibility: Eyes fully visible through fully transparent lenses.
  • No Distortion: No distortion or shadows caused by glasses.

Facial Appearance:

  • Head Coverings: Head uncovered unless worn for religious reasons.
  • Visibility: Face fully visible; eyes not obscured by hair or accessories.

Expression:

  • Neutrality: Neutral expression with mouth closed.
  • Gaze: Looking straight at the camera.

Exceptions:

  • Religious Head Coverings: Permitted if the head covering is plain, in one color, and contrasts with the background.
  • Children Under 6: Some requirements are relaxed, such as strict positioning and expression rules.
